Systems

Built. Running. Not decks.

Vyso builds bespoke AI automation systems. Built so far: a full operating system for a Johannesburg food wholesaler (stock, suppliers, documents, orders, invoicing), a scheduled lead engine that checks replies, drafts follow-ups and discovers new leads into Gmail drafts and Notion, an invoicing and CRM tracker, and order capture that turns WhatsApp messages and emails into confirmed orders. Every build keeps a person in charge of every outward action.

What we have built

Build 01

An operating system for a wholesaler.

A Johannesburg food wholesaler ran on WhatsApp, email, paper and memory. We built the system that now runs it: stock and suppliers, every document read and filed, customer orders from draft to payment, a daily brief.

Build 02

A lead engine that never sends.

Every weekday at 06:00 it checks the inbox for genuine replies and bounces, drafts stage-based follow-ups for leads due today, then discovers new leads with web search, scrapes and qualifies them, and drafts first outreach. Fifty nodes. Every email ends as a Gmail draft a person sends.

Build 03

Invoicing and a CRM in one tracker.

Outreach, leads, customers, services, invoices and templates on one screen. Leads move through stages with a next action and a follow-up date; invoices go from draft to sent to paid and land in the books.

Build 04

Orders captured from WhatsApp and email.

Customers order the way they already do. A message or an email with a PO comes in; the system verifies the sender, matches the customer and the products, prices the lines and creates the order for a person to confirm. The invoice follows.

Behind every build

The same five verbs.

The five systems

Every system above is these five, arranged for one operation. Read, check, watch, follow, brief.

  • 01

    Read everything.

Invoices, delivery notes, statements and quotes become structured records the day they arrive.

    • · Invoice and document processing
    • · Data entry between systems
    • · Compliance document collection
    • · Inbox triage and routing

Low confidence reads queue for a person

  • 02

    Check the numbers.

Invoices against prices, deliveries against orders. What doesn't add up gets flagged with the evidence attached.

    • · Purchase order, delivery note and invoice reconciliation
    • · Supplier price monitoring
    • · Exception detection across systems

Every discrepancy is a finding, never an automatic dispute

  • 03

    Watch what moves.

Supplier prices, stock cover, payment ages and deadlines, watched daily. The moment something shifts, the right person knows.

    • · Stock and purchasing alerts
    • · Renewal and deadline monitoring
    • · Supplier price change alerts
    • · Custom monitoring agents

Alerts route to a person with suggested next steps

  • 04

    Follow it through.

Payment reminders, quote follow-ups and missing document requests, drafted in your tone and kept moving until resolved.

    • · Debtor and payment follow-ups
    • · Quote and lead follow-ups
    • · Customer enquiry handling
    • · Internal approvals kept moving

Drafts wait for approval before anything leaves the building

  • 05

    Brief every morning.

Exceptions first, ranked by financial impact, each with its evidence and a one-click next action.

    • · Daily management briefs
    • · Exception summaries by financial impact
    • · Weekly and month-end roll-ups

The brief proposes, your team decides
